Stop doing busywork: let Power Automate handle it

Running a small business means wearing a lot of hats. And under most of those hats is a pile of small, repetitive tasks: chasing an approval, copying numbers from one spreadsheet to another, sending the same reminder for the hundredth time. None of it is hard. All of it eats the day.

The good news is that a tool you may already be paying for can do most of that work for you. If your business uses Microsoft 365, you have access to Microsoft Power Automate, and it's one of the simplest ways to claw back hours every week. Here's a plain-English look at what it does, and how we help businesses across the Denver area put it to work without anyone needing to learn to code.

What Power Automate actually is

Power Automate is a Microsoft tool for handling routine tasks automatically: things like sending notifications, copying files, and routing approvals. You build little automated routines (Microsoft calls them "flows") by dragging and dropping steps into place, no programming required. And it works wherever you do: on your desktop, your phone, in your browser, and inside Microsoft Teams.

Why it's such a win for smaller teams

When you don't have hours to spare, every minute saved matters. Power Automate lets you strip out manual steps and speed things up without hiring a developer or buying extra software. Think of it as an assistant that never gets tired and never forgets a step.

It comes with hundreds of ready-made templates and connections to the apps you already use. Want email attachments saved to your cloud storage automatically? Done. Want a Teams message whenever an important file changes? Easy. Want a manager to approve a time-off request with one click in their inbox? Pick a template and tweak it.

Everyday problems it quietly solves

This isn't about flashy features. It's about removing the friction from things you already do every week:

  • Welcoming new customers. When someone signs up, automatically send a welcome email, assign the right team to follow up, and update your records, all in one go.
  • Managing sales leads. A new inquiry can trigger follow-up emails, route the lead to whoever's available, and log the activity without anyone touching a keyboard.
  • Expense reports. Pull together receipts, total them up, and send the report off for approval, instead of collecting paper and filling in forms by hand.
  • Setting up new hires. When someone is added to your HR system, it can kick off account creation, share the right documents, and schedule their orientation. (We go deeper on this in our guide to making a new hire's first day work, not wait.)
  • Running projects. Launch a new project with task lists, team assignments, and progress tracking already in place.

How it works, in plain terms

Every flow starts with a trigger: something that kicks it off, like an email arriving or a form being submitted. Then it runs the actions you've set, such as creating a task, sending a message, or saving a file. Between the hundreds of templates and the ready-made connections to apps like Outlook, SharePoint, and your cloud storage, most useful flows are a matter of picking the right starting point and adjusting it to fit.

Is it secure?

Yes. Power Automate runs on Microsoft's cloud, so it inherits the same strong security protections as the rest of Microsoft 365. You can control who's allowed to use it, restrict access to sensitive information, and review what each flow is doing. It can also connect to older software you already rely on, so you can automate around existing tools instead of having to replace them.

Going further when you're ready

Once the basics are saving you time, there's room to grow. For repetitive work in systems that don't connect easily, Power Automate can mimic the clicks and keystrokes a person would make, handy for pulling data out of older programs. And it includes a tool that watches how work actually flows through your team and points out the bottlenecks, so you can automate the steps that are costing you the most first.

Getting started is easier than you think

If you have Microsoft 365, you log in, open Power Automate, pick a template or build a simple flow, save it, and let it run quietly in the background. The hardest part is usually just deciding which annoying task to hand off first.

If you'd rather not figure out the details yourself, that's where we come in. We help businesses spot the repetitive work that's dragging their team down and set up automations that just work, in plain English, with no pressure. A free IT check-up is an easy place to start.
